Ru-ffel Faissal trading as Renter Ready ("we", "us") is the data controller for personal data processed through RenterReady. This means we decide how and why your data is used. Contact: renter.ready@outlook.com.
Data we collect and why
- Account details (name, email, password or Google sign-in, account type, reference code): to create and run your account. Legal basis: contract.
- Property and viewing data (links, addresses, scores, notes, bills, letting agent details, photos): to provide the scorecard, comparisons and reports. Legal basis: contract.
- Evidence records (room photos, meter readings, timestamps, tenant name, address): to build your move-in/move-out evidence report. Legal basis: contract.
- Guarantor links, ratings and notifications: to share your houses with linked guarantors and keep them updated. Legal basis: contract.
- Purchase records (what you bought, amount, status, Paddle transaction reference): to unlock paid features and keep accounting records. Legal basis: contract and legal obligation.
- Support messages and customer notes: to help you and manage our customer relationship. Legal basis: legitimate interests.
- Advert text, contract clauses and message context submitted to premium tools: sent to our AI service to produce requested explanations or drafts; inputs and AI results are not saved to your account by these tools. Legal basis: contract. Please remove unnecessary personal or confidential details before submitting.
- Tenancy reminders (title, due date, category and notes): saved privately to your account to provide your premium reminder list. Legal basis: contract. Reminders appear in the app; no email or push reminders are sent.
- Newsletter waiting-list email and consent record: to register your interest in the monthly renter-rights newsletter and send it when launched. Legal basis: consent. Request removal at any time using our contact address; waiting-list registration does not send newsletters yet.
- Technical data (IP address, device and browser information, logs): for security, fraud prevention and fixing problems. Legal basis: legitimate interests.
Card details are collected directly by Paddle. We never see or store them.
Who we share data with
- Paddle.com, our Merchant of Record, for selling the product, payments, tax compliance and invoicing.
- Service providers who host our app, database, file storage and email on our behalf.
- People you choose: anyone you send a share link to, and guarantors you link with.
- Professional advisers (legal, accounting) where needed.
- Authorities where required by law.
International transfers
Some providers may process data outside the UK/EEA. Where they do, we rely on adequacy decisions or standard contractual clauses (including the UK addendum) to protect it.
How long we keep it
We keep account and property data while your account is open. When you delete your account or ask us to, we delete or anonymise your data within 30 days. We keep purchase records for up to 6 years for tax and accounting purposes.
Your rights
Under UK GDPR you can access, correct, delete, restrict or object to the use of your data, ask for a portable copy, and withdraw consent where we rely on it. Email us to use these rights. We'll respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).
Security
We use encryption in transit, private file storage with time-limited links, and strict access controls so only you, the people you share with, and authorised staff can see your data.
Cookies
We only use essential storage needed to keep you signed in and make the app work. We don't use advertising or analytics cookies. If that changes, we'll update this notice and ask for your consent.
